Privacy Policy

Verbatim is a tool for preparing for high-stakes conversations. We take the privacy of what you share with us seriously because the situations you describe are often personal, professional, and sensitive. This policy explains what we collect, how we use it, and your choices.

What we collect

  • Account information: email address and an encrypted password hash when you sign up.
  • Briefing inputs: the scenario, roles, situation, and desired outcome you enter to generate a briefing. These are stored so you can revisit past briefings.
  • Generated briefings and rehearsal transcripts: the AI output produced for you, and any practice dialogue you have with the rehearsal AI.
  • Saved work context: private context you add, the reviewable proposals generated from it, and the commitments, open issues, or notes you choose to keep.
  • Usage data: limited product-usage events that help us understand which parts of Verbatim are useful. These events do not include the text you enter, AI-generated text, transcripts, provider errors, account email, or coaching-record IDs. At launch, Verbatim does not use third-party browser analytics, advertising tags, or session recordings.
  • Billing information: handled entirely by Stripe. We never see or store your card number.

How we use it

  • To generate your personalized briefings and rehearsal sessions.
  • To show you your past briefings when you sign back in.
  • To organize relationship context you intentionally provide and show its source receipt when you review it.
  • To bill you if you subscribe to Pro.
  • To email you about your account (confirmation, password reset, billing).
  • To improve the product — identifying bugs, measuring feature usage in aggregate.

What we don't do

  • We do not sell your data to third parties.
  • We do not use your briefing inputs or transcripts to train public AI models.
  • We do not share your content with other users.
  • We do not create employee scorecards or an employer surveillance dashboard from your saved work context.

Third parties we use

To run the product, your data flows through a small set of trusted vendors:

  • OpenAI: processes briefing inputs, rehearsal role history and transcripts, debrief reports, relationship-memory captures, and extracted text from email, Slack, transcript, PDF, and recording uploads for generation and analysis. API inputs are not used to train public models by default. OpenAI may retain data for abuse monitoring under its API data controls. See OpenAI's API data policy.
  • ElevenLabs — converts text to speech for voice rehearsal.
  • Supabase — hosts your account and stores your briefings.
  • Stripe — processes payments.
  • Netlify — hosts the site and our serverless functions.
  • Resend — delivers transactional emails from us to you.

Your rights

You can delete your account and all associated data by emailing hello@tryverbatim.com. We will delete your data within 30 days. You can also request a copy of everything we have on you by emailing the same address.

Data retention

Briefings and rehearsal transcripts are stored indefinitely while your account is active. If you delete your account, they are deleted within 30 days. Billing records are retained for 7 years to meet tax requirements.

Security

Data in transit is encrypted with TLS. Data at rest is encrypted at the infrastructure level by Supabase and Stripe. We follow industry standards, but no system is perfectly secure — if you would describe a situation with extreme sensitivity (ongoing legal matter, a regulated profession), use your judgment about what details to include.

Children

Verbatim is not intended for anyone under 18.

Changes

If we update this policy, we'll email account holders and post the change date at the top of this page.
